Frequently asked questions

How Scribee works for companies, talents and agencies: projects, payments, disputes and your data.

About Scribee

What is Scribee?

Scribee connects companies with independent developers, system administrators and other tech talents for fixed-price, fully remote projects. Every project starts from a written scope and acceptance criteria, is split into milestones, and each milestone is paid once it is accepted.

Why fixed price only?

Because a clear price for a clear scope protects both sides: the company knows what it will pay, the talent knows what is expected. No day rates, no timesheets, no surprise invoices. If the work changes, the price changes through a change order that both sides accept.

How long should a milestone be?

As short as possible. Short milestones keep the project agile: you see working results early, you can adjust course with a change order, and the talent is delivered and paid sooner, every week or two rather than at the end. A large project is simply more milestones, not bigger ones.

Who can join?

Professionals only. Companies (registered or being registered) post projects. Talents must be registered independent professionals (sole trader, company…). Agencies and IT services firms join our partner program by invitation.

Is Scribee a party to the contract?

No. The contract is signed directly between the company and the talent(s). Scribee provides the tools (scope, milestones, signatures, payments on acceptance through a licensed payment provider, delivery records) and stays neutral.

For companies

What does Scribee cost a company?

Nothing extra. You pay the price agreed in the contract, milestone by milestone. Scribee's fee is paid by the talent. Prices are excluding VAT: a talent registered for VAT adds it to their invoice, and you recover it as usual.

How do I post a project?

Create your company account, then click Post a project. First time working with freelancers? The guided brief asks a few one-tap questions and writes a complete draft with suggested milestones. You can also use the expert form. Any member of your company can draft; admins and owners publish.

How do I choose a talent?

Talents send fixed-price proposals, with a price and a due date for each milestone (they may suggest their own plan). Open each talent's page (presentation, skills, links, CV), compare the offers, shortlist the ones you like and decline the others in one click. When you accept a proposal, you both sign the contract online.

How does payment work?

Nothing upfront, nothing to set up. Each milestone is paid by bank transfer, within 5 days of being accepted (or of the review window ending without an answer), to an IBAN of your company's own at Stripe, our payment provider. The talent is paid as soon as the transfer arrives (an instant SEPA transfer takes minutes). You can also transfer in advance: the next milestones are then paid at once. No card, no direct debit: Scribee never holds your money, and the fees are on us.

Do I get an invoice?

Yes, for every milestone, as soon as you accept it: issued in the talent's name (Scribee writes it for them), due within 5 days. Download the PDFs on Finance: each one carries its Factur-X data, so accounting software imports it as is. Add your accounting address in Settings › Payments to receive each new invoice by email, and export a whole period (PDFs + spreadsheet) in one click.

How long do I have to review a delivery?

7 days. You can accept it or ask for changes. If you do not answer in time, the milestone counts as accepted, so talents are never left waiting. We remind you 48 hours before the deadline.

What if I am not happy with a delivery?

Ask for changes with a comment: each milestone includes 2 rounds of changes by default (you can set this before publishing). If the problem remains after that, you can open a dispute on that milestone only (see below).

Can the scope change during the project?

Yes, through a change order: either side proposes new or modified milestones (work not started yet), the other accepts or declines. An accepted change order creates a new version of the contract, signed by both sides.

Can I share confidential information?

Your project can include an optional spec document. You choose who can read it: every talent who can see the project, or only the talent you hire (from the moment you accept their proposal, before signing). In that second case it is encrypted end to end: Scribee cannot read it. Talents can also deliver through your own secure channel: files are then optional on Scribee and the delivery is still recorded.

Who keeps my website running after delivery?

Your talent can, with a support plan: hosting and domain, security updates, small changes each month and a guaranteed response time when something breaks, for a monthly or yearly price. Say in your brief whether you will need one; when the project is delivered, Scribee asks you a few questions and drafts the plan with your talent. You accept it once and it is paid by SEPA direct debit. Cancel anytime (monthly) or before the yearly renewal; if a reported problem is not answered in time, you stop it at once and the period is refunded. The domain and accesses stay yours.

Can my colleagues use the account?

Yes. Invite them from your company's team page as members (they draft projects and follow the work) or admins (they also publish, hire and pay).

For talents

How much does Scribee take?

10% excluding VAT (12% including VAT) of each paid milestone's price, deducted from the amount you receive. Talents in another EU country pay no VAT on it (reverse charge). No subscription, no fee to send proposals.

When do I get paid?

As soon as the company's transfer arrives: it has 5 days to pay an accepted milestone (accepted by the company, or automatically 7 days after your delivery without an answer). The money then goes straight to your bank account through Stripe (set up once, before your first signature). If the payment is late, the next milestones cannot start and you may pause your work. Short milestones mean you are paid often.

Who writes my invoices?

Scribee does, in your name: no invoicing tool needed. Give your SIRET once (your name and address are filled in for you) and say whether you charge VAT. Each accepted milestone then gets its invoice to the client, numbered in your own series, and Scribee's fee gets its own invoice to you. Everything is on Finance, with an export for your accountant. You still declare your income and, if you charge it, the VAT.

How do I hear about new projects?

Scribee emails you when a project is published in one of your languages (those on My page, or the language you use Scribee in). The first one arrives within minutes; after that, at most one email a day, listing everything published since. Nothing is sent while you are "Not taking new projects", and you can stop these emails in one click from any of them or in My page. For narrower matches, save a search on the Projects page: you get a daily digest of what matches it.

How do I present myself to companies?

In My page, write a presentation, list your skills and languages, say when you are available, add links (portfolio, LinkedIn, GitHub…), your CV as a PDF and, if you like, a photo. Changes are saved as you type. Your page also shows your record on Scribee (contracts completed, milestones accepted without dispute), computed by Scribee: you cannot edit it. Companies see your page from your proposals, and you can share its link with anyone: search engines don't list it, and only people signed in to Scribee can download your CV. Companies contact you through Scribee, so you can leave your phone number and address out of your CV.

Can I offer a support plan after the project?

Yes. From the contract page, offer to keep the project running: what you commit to (hosting and domain, updates, hours of small changes, response time) and your monthly and/or yearly price. The client accepts it once and pays by direct debit; each period is paid to you minus Scribee's fee (10 % excl. VAT). You guarantee the commitments: a problem the client reports must be answered within your response time, or the client may stop the plan with the period refunded.

Can I propose my own plan?

Yes. Take the company's milestones or propose your own priced plan. Either way, you commit to a due date for each milestone.

Can I work with other talents?

Yes: "deliver like a hive". As lead talent, you propose with a team, assign each milestone to a teammate, and each milestone is paid to the talent who delivers it. The company keeps a single counterpart: you.

What if the company disappears?

The review period protects you: without an answer within 7 days of your delivery, the milestone counts as accepted and you are paid.

Do I need a registered business?

Yes, Scribee is for professionals. You remain responsible for your taxes and social contributions. Under EU rules (DAC7), Scribee may have to report your income earned on the platform to the tax authorities.

Are projects remote?

Always. Some companies welcome occasional in-person meetings; when they do, travel is at their expense.

Disputes

What happens if we disagree?

Only the company can open a dispute, on one milestone, and only when all rounds of changes were used, when the talent has shown no activity for 14 days, or when the due date is more than 14 days past. The rest of the contract carries on. Each side gives its account; Scribee suggests a 50/50 split after 3 working days and once more on day 14. If both accept, the money is split. Otherwise you settle it through mediation or the court of your choice: Scribee does not arbitrate.

Agencies & partners

I run an agency or an IT services firm. How can I work with Scribee?

Our partner program is by invitation. Partners introduce companies with a link or code; on the first contract an introduced company signs within 12 months, the partner receives half of Scribee's fee (5% of each paid milestone). It changes neither the company's price nor the talent's earnings. Commissions are transferred to the partner each month, with the invoice written for it by Scribee (self-billing).

Privacy & security

Do you use cookies?

Only one, the session cookie that keeps you signed in. Your browser also keeps the key that opens your encrypted files. No analytics, no advertising trackers, no third-party content. That is why you never see a cookie banner here.

Where is my data stored?

In the European Union. You can export all your data or delete your account yourself, from the Privacy page.

Why is there no password?

You sign in with a one-time code sent to your email. Nothing to remember, nothing to leak.

Can Scribee see my files?

No. Files exchanged within a contract are encrypted end to end in your browser before they leave your computer, names included. Only the people on the contract can open them: each browser has its own key, which Scribee never holds. A new browser receives the keys automatically as soon as another browser of the contract is online. Because Scribee cannot open these files, it cannot scan them for viruses either: check what you download, as you would with an email attachment.

How long are files kept?

Delivered files are deleted 7 days after their milestone ends (paid, cancelled, or closed after a dispute), never during the review, the changes or a dispute. A spec document reserved for the hired talent is deleted 7 days after the contract is signed. Download what you want to keep: the delivery itself (date, note, file fingerprints) stays on record.
